Organize and find content with categories
Tag items with categories so that you — and everyone else — can find related content later, regardless of where it lives or what it is named.
What taxonomies and categories are
Section titled “What taxonomies and categories are”A taxonomy is a named tree of categories set up by your administrator — for example, a “Program Areas” taxonomy containing a category for each program, with sub-categories underneath. Assigning categories to an item does not move or change it; it adds labels that power category filtering and browsing across the whole repository.
Two things to know:
- Categories can be nested. Checking a parent category automatically selects all of its sub-categories.
- Your administrator can make a taxonomy required for certain content
types. Those taxonomies are marked with
*, and you cannot save an item of that type until you assign at least one of their categories.
Assign categories to an item
Section titled “Assign categories to an item”Before you start: find the item in the Asset Browser and click it to open its detail view. You need edit permission for the item.
- Open the item’s Metadata view (for items with a file preview, click View Meta in the detail view’s header first), then click Edit. The Manage Metadata form opens.
- Click Manage Categorization at the bottom of the form. (This step only appears when the repository has taxonomies.)
- Under Available Taxonomies:, pick a taxonomy from the
Choose taxonomy… dropdown. Required taxonomies are prefixed
with
*. - Check the categories to assign. Use the arrow next to a category to expand its sub-categories, or type in Filter by Category… to search the tree. Checking a parent selects all of its children.
- Click Update (labeled Assign if nothing was selected yet). The assigned categories are listed under Selected Categories, grouped by taxonomy.
- Click Save to save the item.
View or remove an item’s categories
Section titled “View or remove an item’s categories”Open the item and click View Details, then choose the Categories tab in the details panel. Assigned categories are listed under their taxonomy. Hover over a category and click the × to remove it — you’ll see a Category removed confirmation.
Filter the content list by category
Section titled “Filter the content list by category”- In the Asset Browser, open the filter panel’s Filters tab and click Taxonomies to expand the section. (The section only appears when the repository has taxonomies.)
- Click a taxonomy name to expand its category tree. Each category shows a count of matching items.
- Check one or more categories. Use the Search categories… box to find a category anywhere in the tree — matches expand automatically.
- The content list narrows to items assigned those categories, and a chip for each (for example, Program Areas: Finance) appears above the list. Category filters combine with any other filters or search you have active.
Verify
Section titled “Verify”- After assigning: the Categories tab of the item’s details panel lists what you assigned.
- After filtering: a taxonomy chip appears above the content list; remove it with its × or with Clear all.
Troubleshooting
Section titled “Troubleshooting”- You can’t save an item — check for a notice that a required taxonomy needs a category. Open Manage Categorization and assign one; the taxonomy’s badge turns from red to green once satisfied.
